Manage your portfolios

Summary

A portfolio is a curated selection of products that you share with specific user groups. Each portfolio has its own channel, locales, currencies, and product configuration, allowing you to tailor the browsing experience for different audiences — for example, one portfolio for your European sales team with French and German locales, and another for your North American team with English and USD pricing.

Create a New Portfolio

  1. Go to Admin > Portfolios.
  2. Click on Create portfolio in the top-right corner.
  3. Fill in the portfolio details:
    • Name — Enter a unique name for the portfolio. The name must be unique across all portfolios in your organization. A real-time check will tell you if the name is already taken.
    • Channel — Select the PIM channel to use for this portfolio. The channel determines which locales and currencies are available.
    • Locales — Select one or more locales from the channel's available locales. Product data will be displayed in these languages.
    • Currencies — Select one or more currencies from the channel's available currencies. Price attributes will be displayed in these currencies.
  4. Click Create to save the portfolio.

 

After creation, you are automatically redirected to the portfolio's edit page where you can continue configuring it.

Tip: When you select a channel, all of the channel's locales and currencies are pre-selected by default. You can remove any locale or currency you don't need for this particular portfolio.

 

The Portfolios List

The Admin > Portfolios page shows all portfolios in a table with the following columns:

  • Name — The portfolio name (click on a row to open it for editing)
  • User Groups — The user groups assigned to this portfolio
  • Created At — The date the portfolio was created

You can sort the table by Name or Created At by clicking on the column headers. Use the search bar to filter portfolios by name.

 

Once you have created a portfolio, you can open it at any time to update its settings.

 

Edit a Portfolio

  1. Go to Admin > Portfolios.
  2. Click on the portfolio you want to edit.
  3. The portfolio edit page opens with a sidebar on the left showing all configuration sections:
    • Portfolio Settings — Name, channel, locales, currencies, user groups, and product filters
    • Navigation — Category tree selection
    • Attribute Selection — Which attributes are visible
    • Navigation Filters — Filterable attributes for end users
    • Product Grid Columns — Columns shown in the product gallery grid
    • Product Details — Featured attributes and product label configuration
    • Asset Gallery Filters — Asset family and media type filters
    • Export Settings — PDF export configuration
  4. Navigate between sections using the sidebar. Make your changes and click Save when done.

 

Important: If you have unsaved changes and try to navigate to a different section, a confirmation dialog will ask you whether you want to discard your changes or stay on the current page.

 

Preview a Portfolio

You can preview what end users will see without leaving the admin area:

  1. Open a portfolio for editing (click on it in the portfolios list).
  2. Click the Preview portfolio button at the top of the page.
  3. A new browser tab opens showing the portfolio as an end user would see it.

This is useful for checking your configuration before assigning the portfolio to user groups.

Not seeing your portfolio? Please, make sure you assigned yourself to at least one user group with access to the portfolio to preview it.

 

Duplicate a Portfolio

If you need a portfolio with similar settings, you can duplicate an existing one instead of starting from scratch:

  1. Go to Admin > Portfolios.
  2. In the portfolio row, click the Duplicate icon (the copy icon on the right side of the row).
  3. A new portfolio is created with the same settings as the original, and you are redirected to its edit page.
  4. Update the name and adjust any settings as needed.
  5. Click Save to confirm your changes.
Tip: Duplicating a portfolio copies all settings including channel, locales, currencies, user groups, root category, attribute selection, filters, grid columns, product details configuration, and export settings. This is a great time-saver when you need multiple portfolios with slight variations.

 

Delete a Portfolio

  1. Go to Admin > Portfolios.
  2. In the portfolio row, click the Delete icon (the trash icon on the right side of the row).
  3. A confirmation dialog appears showing the name of the portfolio you are about to delete.
  4. Click Delete to confirm.
Important: Deleting a portfolio is permanent and cannot be undone. All users assigned to this portfolio through its user groups will immediately lose access to the products it contained. Make sure this is what you intend before confirming.
