Quick Start Guide

Summary

This guide walks you through the complete Digital Showroom setup process, from connecting your Akeneo PIM to letting your first users browse products.

Before you start

To complete this setup, you need:

  • Administrator access to your Akeneo PIM (Growth or Enterprise edition)
  • Administrator access to your Digital Showroom account

Overview

Setting up Digital Showroom involves 7 main steps:

  1. Connect your PIM
  2. Check PIM prerequisites
  3. Create a portfolio
  4. Configure the portfolio
  5. Set up user groups and assign portfolios
  6. Invite users
  7. Users log in and browse

Step 1: Connect your PIM

To connect Digital Showroom to your Akeneo PIM, activate it as a Connect App from your PIM:

  1. Log in to your Akeneo PIM as an administrator.
  2. Go to Connect > App Store.
  3. Find Digital Showroom in the list of available apps.
  4. Click Connect to start the activation process.
  5. Review the requested permissions on the Digital Showroom authorization page.
  6. Click Authorize to grant Digital Showroom access to your product data.

Step 2: Configure your app

Before creating portfolios in Digital Showroom, make sure your Digital Showroom app is properly configured:

  1. Go to Connect > Connected Apps.
  2. Find Digital Showroom in the list of available apps.
  3. Click Manage app to access app settings, then click Catalogs.
  4. Open the Digital Showroom catalog.
  5. In Product selection, add selection criteria to filter the products you want to see in Digital Showroom.
  6. Then, in Filter the values, select the channels, locales, and currencies you want to display in Digital Showroom.
  7. Enable the catalog and click Save to start the synchronization. 

Once the Digital Showroom App catalog enabled, Digital Showroom starts an initial synchronization of your products, categories, attributes, and assets. After that, changes in your PIM are reflected in Digital Showroom through the Akeneo Events Platform.

Step 3: Create a portfolio

A portfolio in Digital Showroom is a curated selection of products shared with specific user groups. To create your first portfolio:

  1. In Digital Showroom, go to Admin > Portfolios.
  2. Click Create portfolio.
  3. Enter the portfolio name, select a channel, and choose locales and currencies.
  4. Click Create.

After creation, Digital Showroom automatically opens the portfolio’s configuration page.

Step 4: Configure the portfolio

With the portfolio created, configure how it displays products in Digital Showroom:

Step 5: Set up user groups and assign portfolios

User groups in Digital Showroom control which portfolios each set of users can access. Portfolios are assigned to user groups — individual users are never assigned portfolios directly. Create your user groups before inviting users so they have immediate access to the right portfolios when they first log in.

  1. In Digital Showroom, go to Admin > User Groups.
  2. Click Create group and give it a name.
  3. Assign one or more portfolios to the group.
  4. Repeat for each audience you need to serve.

Step 6: Invite users

With user groups set up, invite your team to access Digital Showroom:

  1. In Digital Showroom, go to Admin > Users.
  2. Click Invite users.
  3. Enter email addresses, assign a role (Admin or User), and assign one or more user groups.
  4. Click Send invite to send the invitation emails.

Invited users receive an email with instructions to create their account. Once they accept the invitation, their status changes to Active.

Step 7: Users log in and browse

Once invited, your Digital Showroom users can:

  1. Click the invitation link in their email to create an account.
  2. Log in to Digital Showroom.
  3. Browse products in their assigned portfolios.
  4. Search and filter to find what they need.
  5. View product details, assets, and variants.
  6. Generate PDF exports of selected products.

Digital Showroom is now fully set up and ready for your users.
