Invite and manage users via Akeneo Product Cloud authentication (Early Access)

Summary

With Akeneo Product Cloud authentication, Akeneo PIM administrators invite users by email. The user receives an invitation message from Akeneo, sets their Akeneo Product Cloud password, and then signs in to Akeneo PIM with their email address. This page covers the four common Akeneo PIM user-management tasks under the Akeneo Product Cloud: inviting a user, accepting an invitation, resetting a user's password, and revoking access.

Akeneo Product Cloud authentication is rolled out per tenant during the Early Access program. Reach out to your Akeneo contact if you're interested in trying it out. On tenants that have not been enabled, continue to use the legacy Akeneo PIM user management described in Manage your users.

Before you start

  • You must have the Manage users permission (pim_user_user_create) in Akeneo PIM to invite users or revoke their access.
  • The invited user must have access to the inbox you invite them at.
  • Akeneo Product Cloud authentication must be enabled on your tenant.

Invite a user and set their permissions

To invite a new user to Akeneo PIM, send them an invitation by email and assign them to the right groups and roles.

  1. In Akeneo PIM, go to System > Users.
  2. Click Invite user in the top right corner.
  3. Enter the email address of the person you want to invite and click Send invitation.

Akeneo creates a pending Akeneo PIM user record for that email and sends an Akeneo Product Cloud invitation email to the address. The pending user appears in the user list with an Invite pending status.

The screenshots above show the Akeneo PIM Invite user dialog, with an Email input field and the Send invitation button. The invitation will be pending until accepted by the user.

Assign roles, groups, and permissions to a pending user

You can assign roles, groups, and permissions to a user before they accept the invitation. The configuration is applied as soon as the user activates their account.

  1. In Akeneo PIM, go to System > Users and click the pending user in the list.
  2. Open the Groups and Roles tab.
  3. Select the user groups and roles you want to assign and click Save.
  4. Adjust permissions on the catalog, asset families, import-export profiles, and web API on the relevant tabs as needed.

The user is created with the username set to their email address. You cannot change the username later — their email serves as the unique identifier for the Akeneo Product Cloud.

Re-send an invitation to a pending user

If a user did not receive their invitation email or the link expired, re-send the invitation from their Akeneo PIM profile.

  1. In Akeneo PIM, go to System > Users and click the pending user in the list.
  2. Click Resend email at the top of the user profile.

Akeneo sends a new invitation email. The user's existing roles, groups, and permissions are preserved.

Invite a user who already has an Akeneo Product Cloud account

If you invite an email address that already has an Akeneo Product Cloud account (for example, the user has access to Akeneo Supplier Data Manager), Akeneo grants the existing account access to Akeneo PIM and sends them a notification email rather than a new invitation. The user can sign in to Akeneo PIM immediately with their existing Akeneo Product Cloud password.

Accept an invitation and sign in

This section is meant for invited users who received an invitation email from Akeneo. The flow you see depends on whether you already have an Akeneo Product Cloud account.

If you do not have an Akeneo Product Cloud account yet (you are new to Akeneo or have only used the previous login experience)

  1. Open the invitation email from Akeneo and click the invitation link.
  2. On the Join {organization} Team screen, your email is pre-filled and disabled. Enter a Password, repeat it in Confirm password, and click Confirm.
  3. You are redirected to Akeneo PIM and signed in. Your account is now active.

If you already have an Akeneo Product Cloud account (for example, you already use Supplier Data Manager with the invited email):

  1. Open the invitation email from Akeneo and click the invitation link.
  2. On the Join your team at {organization} screen, click Accept invite. No password is required — your existing Akeneo Product Cloud password is reused.
  3. You are redirected to Akeneo PIM and signed in.

Future sign-ins use the Akeneo Product Cloud login page: enter your email address and your Akeneo Product Cloud password. See Log in to Akeneo PIM.

Invitation links expire after a short period. If your link has expired, ask your Akeneo PIM administrator to resend the invitation from your user profile in System > Users.

Reset another user's password

When the Akeneo Product Cloud is enabled, an Akeneo PIM administrator can trigger an Akeneo Product Cloud password reset email for any active user. The reset email is delivered by Akeneo to the user's registered email address.

  1. In Akeneo PIM, go to System > Users and click the user whose password you want to reset.
  2. Click Edit, then open the Password tab.
  3. In the Password reset section, click Send a reset link.

Akeneo sends the user an Akeneo Product Cloud password reset email. After each request, the button is disabled for 30 seconds and shows Send a reset link (30s) to prevent duplicate emails. For details on the reset experience from the user's perspective, see Reset your password.

Revoke a user's access

To remove a user's access to Akeneo PIM, delete their Akeneo PIM account. Deleting the account terminates their access at the next sign-in attempt and removes them from your organization in the Akeneo Product Cloud.

  1. In Akeneo PIM, go to System > Users and click the user you want to remove.
  2. Click the ... button in the top right corner of the user profile and select Delete.
  3. Confirm the deletion in the dialog.

The user can no longer sign in to Akeneo PIM. Their past contributions and audit trail entries are kept in Akeneo PIM.

Deleting a user in Akeneo PIM revokes their access to Akeneo PIM only. If the same user is provisioned in other Akeneo products (for example, Supplier Data Manager), their access to those products is unaffected. To remove the user from all Akeneo products, repeat the revocation in each product.
