How to manage my company and contacts?
🔑 Audience
You must be assigned as a company Supervisor to be able to view and manage your company and contacts information.
From the My Company section of the Portal, you can manage the contacts related to your company.
Akeneo Connect serves as the single sign-on (SSO) for accessing the Customer Portal, the Partner Portal, the Akademy, the Partner Akademy, and the App Store.
General Information
From My Company > General information, you can see your Company name and type, your Akeneo Customer Success Manager if you are customer or Channel manager if you are a partner. You can use this page to edit your Company’s Name, and it also lists the activity logs of your contacts and company.

Approved Domains
To avoid supervisors having to manually create user accounts, new users from your company can self-register with Akeneo Connect SSO to access Akeneo resources from their respective login page.
Upon registering, if their email domain is one of the approved domains already defined for your company, the user will automatically be created and associated to your company. Your company can have several associated email domains.
By default, self-registered users are automatically granted access to the Toolbox users group in order to limit access to what they can see. Under the Toolbox users group, they will have access to the following Akeneo resources:
- The Akeneo Akademy for customer-focused learning
- The Partner Akademy for Solution Partners
- The Toolbox section of the Portal for Solution Partners and App Store Partners
If a user is registered using a non-approved domain, the user will only have access to the Akademy community lessons and the App Store.

Managing Contacts
You can access the list of your company’s contacts to see their name, title, attached office, email, groups, status and last logged activity date.

You can access a list of available actions related to the contact by selecting the “…” button (see image below).

Edit profile
Edit personal information about the contact such as name, title, email, phone number and cell number.

Edit permissions
Grant or remove access to different permission groups that provide contacts with access to the various Portal sections.

Available groups:
- Toolbox users: This is the default group that users are placed into. This group grants access to the Toolbox and the Akeneo Akademy.
- Console users: This group grants access to the Toolbox, Akademy, and Project Console (such as the Enterprise Repository, PIM instance, Helpdesk, depending on if the user is listed on those projects individually).
- Supervisors: This group contacts all of the permissions listed above, as well as giving access to manage the company information and contacts. Supervisors receive notifications for all the actions of their teammates.
Send reset password
For troubleshooting access issues to the Portal, Supervisors can send a password reset email to their company contacts.
If a user loses their password or would like to change their password, this can be done from the login page by selecting “Forgot Password”. By doing so, the user will receive a password reset email.
Deactivate contact
When someone leaves your company, it is the responsibility of the Supervisor(s) to deactivate a contact from the Portal.Â
From the company contact list or the contact page, click the Actions button, follow the “Deactivate the contact” link, and confirm the action by selecting “Deactivate”.

Deactivating a contact will remove Akeneo Connect SSO user access to the Portal, the Akeneo Akademy, App Store, and all of the user’s Project console access (PIM SSH access, extension, Enteprise repository or Helpdesk access).
Add a contact
In order to create a new contact, you need to complete a few steps:
First step
- To add a new contact follow the “Add contact” button in your contact list
- Provide the user’s email
- Select if the created contact is a member of your company or is a member of an external company, like a contractor or freelancer. You should only add external users to give them minimal access to a customer project.
- Click on the“Next“ button

Profile section
- Fill out the contact information
- Select an office
- Click the “Next” button

Permissions section
- Select the groups you’d like the user to be associated with.
- Click “Create contact” to finalize the contact creation
- You will be redirected to the created contact view page and the contact will be notified by email with a temporary password to log in to Akeneo Connect and the Portal.

For each of the company’s contacts, the Supervisor can see the following sections:
- General Information
- Permissions
- Access Project Console (if the contact is a stakeholder in an Akeneo project)
- Activity logs and notifications
- Profile logs
